Responsible for assisting the physician training team with the coordination, planning, logistics, and communication associated with physician education and training programs, as well as other activities as required. Individual will be required to work effectively with cross-functional teams (sales, marketing, legal, and compliance) in this role to ensure compliance and regulatory requirements for programs are met.

ESSENTIAL JOB FUNCTIONS:

  • Coordinate in-person and virtual training events (i.e. registrations, travel logistics, agendas, meeting planning, ordering event materials, catering/reservations, communications, etc.)

  • Execution and negotiation of vendor contracts

  • Manage updates and additions to the training calendar

  • Plan events with meticulous attention to detail

  • Provide professional communication to physician customers, vendors, co-sponsoring companies, and BD personnel

  • Work with training site staff and faculty to ensure regulatory requirements for training programs are met

  • Proactively communicates and escalates potential issues

  • Submit presentations for compliance review and approval

  • Manage and maintain inventory of supplies and disposable products

  • Database entry and management

  • Assist with the creation and documentation of processes and procedures

  • Provide on-site support for education and training programs as required

  • Takes on other roles and responsibilities that may be necessary to support the goals of the department and team

General Qualifications:

  • Demonstrated ability to organize and manage multiple events simultaneously

  • Strong customer service skills

  • Ability to resolve problems

  • Ability to work in a fast-paced team environment

  • Excellent communication skills written and verbal

  • High attention to detail and accuracy

  • Expertise with Microsoft Office tool usage and knowledge, particularly Excel, PowerPoint, Event Management System, Word and Outlook

  • Preferred experience in the medical device or pharmaceutical industry

Education and/or Experience:

High School Diploma required; Bachelor’s Degree preferred OR 3-5+ years’ experience in meeting management and travel coordination.
