Job Description Summary

Maternity Leave relief role, approx. 6 months – 28th March – 28th September 2018. This position will report to the Contracts and Tenders Manager. The incumbent is required to analyse and coordinate the administrative, technical and commercial aspects of tendering and contract process. He/ She is required to actively overseas the efficient and compliant execution of all tendering activities in accordance with company policy and standard and tract their status and execution ensuring alignment to project deadlines.

This role will support Business leaders and segments as:

MPS, DS, PAS & DC: Project management of whole end to end tendering process from the pre‐qualification stage through to the final bid submission, award of contract and engagement close out based upon inputs from Business Leaders, Sales, and Finance departments.

Job Description

Roles and Responsibility :

  • Acts as the main interface between customer and the organization to ensure an optimal level of service is provided at all times as per company strategic business planning processes.

  • Management of Australia and New Zealand contract group inbox emails on a regular basis to prioritise work load and flag the emails.

  • Steering tender planning committee for the preparing Request for Tenders (RFTs) and other sales documents as part of the tendering process.

  • Coordinates the preparation and submission of Request for Proposals (RFPs) and other tender documents that are responsive to client requirements and in compliance with company objectives are completed in a timely manner.

  • Coordinates the preparation of sales proposals, tenders/bids, contracts and to formulate, implement and manage strategic business plans with business units and Sales team.

  • Managing the tendering process from the pre‐qualification stage through to the final bid submission, award of contract and engagement close out.

  • Collaborates with key internal stakeholders in identifying business needs relative to projects being undertaken by the company and the response that best meets the needs of the each business unit / department

  • Managing and completing post tender process for each business unit , state and territory - including following up unsuccessful tenders and attending and recording tender debrief meetings where applicable.

  • Preparation, co-ordination and review of all contracts and customer agreements, extensions and variations for respective business units, states and territory. Ensure full contract cycle and maintenance of contracts is effectively and accurately managed in required timeframes.

  • Prepares sales reports and other corresponding documents in accordance with standard templates for approval and signoff.

  • Actively contribute to the development and implementation of all rules and procedure governing client’s tendering and contract process ensuring compliance with company corporate policy and standard.

  • Recommending and providing basic legal support on common clauses conflicting with BD’s standard terms and conditions.

  • Responsible in coordinating and managing all contract related application and / or communication (Product variation, price variation, novation extension including maintaining relationship with tender board.).

Knowledge , Skills and Ability:

  • Healthcare industry experience preferred.

  • Excellent range of communication skills and good interpersonal skill.

  • Knowledge of the RFx (Request for Proposals/Quotations/Information) generation process.

  • Sound understanding of commercial terms and conditions of tenders.

  • Knowledge of private and government procurement contracting and tendering principles.

  • The ability to work accurately to strict deadlines with minimal supervision.

  • Proven ability to analyse information quickly and to problem solve and think strategically, position and formulate appropriate recommendations.

  • Proven ability to effectively manage and coordinate the output of a highly diverse team of professionals and ability to maintain effective working relationships with colleagues and members of the public.

  • Ability to seek ways to continuously improve external and internal customer satisfaction with product or service quality and on‐time delivery.

  • Ability to proactively acquire necessary technical knowledge, skills and judgment to perform job more effectively.

  • Ability to work as part of a group of people, working toward solutions which generally benefit all involved parties.

  • Ability to prepare and generate the comprehensive contract related KPI reports and other ad hoc reports.

  • Proficient in the use of Microsoft office suits specially in Excel.
