The position will span across multiple functions with the division. The associate will have responsibilities for organizational communications, human resources support and initiatives, and be a critical team member in associate and community relations.
This role will provide a broad array of support to management and associates in the midst of a busy, constantly changing work load and environment.
Summary of Position with General Responsibilities:
ORGANIZATIONAL COMMUNICATION: Assess, create, and make recommendations for the communication needs of the associates within the division and the site:
Write, edit and communicate content for associate communication in the form of emails, PowerPoint presentations, digital signage, etc.
Manage the content and publication to digital platforms including but not limited to Intranet sites, Social media sites, and our internal digital signage.
Point of contact for Corporate Communication and HR COE’s for flowing down communication as necessary via various communication methods.
Draft agendas and partner with respective stakeholders on gathering content for all-associate meetings. Coordinate logistics, IT and room set-up.
Draft and communicate associate announcements (eg. new hires, promotions, terminations).
Assist with the coordination and execution of internal associate events.
HUMAN RESOURCES: provide HR support to division HR leader and other centralized HR functions in the following areas:
Recruiting and Onboarding support:
Partner with the RPO vendor and division HRBP to provide recruitment support by drafting offer letters, manage candidate assessments, and other related tasks. Partner with the Contingent Worker Solutions vendor and provide localized support where needed.
Manage internship recruitment and internship program implementation and coordination.
Lead the coordination between the RPO, hiring managers, IT and HR for new hire orientation and onboarding. Prepare new hire packets and binders.
Be the first point of contact for new hires and conduct their first day orientation, along with coordinate and facilitate the division cross-functional orientation.
Ensure that onboarding and orientation activities and paperwork are completed proactively and managers and new hires have a smooth and rewarding experience.
Order and distribute new hire gifts and supplies.
Training and Development support:
Partner with BD University to coordinate and communicate respective internal training needs and efforts.
Centralize the division training and development efforts and communications.
Communicate and coordinate logistics for training sessions and development initiatives.
Initiate and coordinate any 360 feedback processes with the vendor and associates.
Ensure division and site compliance with federal and state laws, legal postings, as well as company policies and procedures.
Comply with all industry and regulatory required requirements.
Maintain associate hard copy files.
Other HR support:
Manage the time-off tracking process for exempt associates.
Timekeeping Administrator for the division.
Support the pay and performance management cycle, activities, and communications.
Create and run various reports for associates and managers as needed with eTime, PeopleSoft, Workday, and other respective tools and technology.
Handle low level HR inquires made by associates, leaders within the division, and also within the HR Centers of Excellence and Associate Resource Center.
ASSOCIATE and COMMUNITY RELATIONS
Participate as an active member of this committee. Coordinate and communicate respective events and activities.
Workplace Campaign support – support the annual workplace giving campaign with coordination of the campaign, events, and communication.
Point of contact for the Committee with external stakeholders for volunteer and campaign related events and communications.
Creates, modifies and support a variety of reports and queries and acts as main point of contact for these requests. Assist with analyzing data to support solutions and programs to support the business.
Initiate continuous improvement efforts and ideas for the responsibilities handled locally.
Bachelor’s degree required; preferably in Human Resources, Business, Communications or Psychology.
Minimum 2 years of HR experience is required, preferably in an HR Coordinator or HR Assistant role. PHR certification is preferred.
Minimum 2 years of experience and/or training with internal organizational communications is required.
Exceptional interpersonal and communication skills and demonstrate the ability to establish effective working relationships and credibility with all levels of the organization.
Knowledge and understanding of Federal, State and local legislation regarding employment and labor laws.
Must be highly proficient with creating and modifying documents using Microsoft Word, Excel, PowerPoint and Outlook.
Prior PeopleSoft, Workday, and ADP eTime experience highly desired. Must be willing to become an expert with these tools.
Knowledge and skills pertaining to social media and Intranet design and content development. Content Management Systems (CMS) experience is highly desired. Must be willing and able to become proficient with these tools.
Professional demeanor with ability to maintain high degree of confidentiality.
Ability to work independently with a high degree of initiative while also being a team player; ownership of situations and proven ability to follow through to resolution.
Adept to change in a dynamic organization. Willing and able to work hard and smart in a fast-paced environment with conflicting priorities.
