BD (Becton, Dickinson and Company) Executive Assistant and Communications in Le Pont, France

Job Description Summary

The Executive Assistant reports directly to the WW VP Quality Management, BD Medical Pharmaceutical Systems.

The role works closely with the VP and supports him/her with daily tasks and projects in the short and long term.

The role is also responsible for communication mechanisms for the Quality Management leadership team. This includes regular updates such as monthly reports, and also broader communication projects such as Quality site events and off site leadership team meetings.

Job Description

  • Manage executive calendars and agendas, address conflicts and priorities, determines solutions.

  • Manage executive emails and in box, flag priority emails, track actions

  • Schedule recurrent Quality meetings for the fiscal year (i.e.: Monthly BDM-PS QM LT, Monthly CAPA Board, Quality System meetings, 1/1…).

  • Acts as a communications specialist for the leadership team. Providing them with counsel and best practice recommendations. Collaborate across the function to understand goals, messages and timelines in order to craft effective, relevant communications.

  • Work at both the strategic and tactical levels to develop communication programs, materials and content; Deliver across internal platforms, channels and geographies.

  • Research, conduct Q&A’s, write, edit and publish content for communication vehicles including: intranet, town halls, video scripts, e-mails, presentations and other.

  • Manage long term programs such as Quality Day at the facility. This includes, collaborating with leadership and management to determine objectives, requirements and expected outcomes for the meetings and conferences.

  • Manage and lead an internal planning team to ensure the meeting goals and objectives are met.

  • Ensure logistics needs are met for events and large meetings, such as inspections, audits, team meetings. This includes: Select a date, find a location, send outlook invitation, prepare the agenda with the meeting’s leader, compile presentations and communications, launch conference call or video conference,

  • Coordinate interactions, meetings, teleconferences, with key customers and BD senior management

  • Manage travel logistics and administrative needs such as expense notes, travel calendar, absence calendar etc.

  • Manage open topics and ensure follow up by taking notes, sharing minutes, and managing information through SharePoint or other network sharing tools.

  • Supervisory experience required as a senior executive assistant (supervising junior assistants/ interns etc.)

  • 5 years or more experience in managing an executive and a leadership team.

  • Master in Microsoft office. (PowerPoint, excel, Word etc.)

  • Expert in Share-point and Microsoft teams

  • Fluent in English and French and able to communicate globally

  • Ability to manage conflicting priorities, make decisions

  • Autonomy
