Job Description Summary

We are looking for a European Business/ Sales assistant who speaks fluently DUTCH as well as English and French to look after the Netherlands region. This role is based in Pont de Claix near Grenoble. We are looking for a candidate profile able to multi task and very customer oriented. Part of the role will be to be the key contact for clients of the Netherlands and French north region and also work closely with key account manager to help with client’s data management. You will be part of an international team and working closely with many internal and external interlocutors.

The BDM-PS European Business Assistant performs a variety of activities, to support the assigned managers i.e. Global, Strategic and Key Account Managers, as well as Commercial Business Development Managers.

Job Description

Main responsibilities:

The European Business Assistant’s primary duties include but are not limited to the following:

Business Support - external and internal Interface

  • Answer telephone calls, conveys messages and monitors flow of e-mails

  • Efficient and professional management of external telephone enquiries with a strong emphasis on customer care and timely response

  • Manage schedules for commercial staff and arrange Outlook schedule as requested

  • Screen, prioritize and effectively manage information flows, including those of the commercial staff during holiday period

  • Liaise with different departments within BDM-PS and with pharmaceutical accounts to execute and follow-up on tasks and customer needs

  • Upon well-defined requests, assist commercial team with close follow-up of customer requests and projects

  • Support the commercial staff in achieving forecast and order coverage objectives by liaising with the accounts (FC template)

  • Execute regional tasks as defined by the business

Administration

  • Organize meetings and events

  • Schedule and book travel for assigned managers, followed by keeping track of changing movements and itineraries

Back-office

  • Provide full secretarial and administrative support

  • Proactive contribution to business system and process improvement for the team e.g. filing systems, document management (archiving and filing)

  • Provides support to the KAM with regards to the CRM system

  • Initiate and enter paralegal requests (CDA-MTA- ) and follow-up approval process internally and with customer

  • Assist with contracts

  • Formulate customer sample request to organization and follow-up of timely sample delivery

  • Send product brochures and literature to customers

  • Provide order lead time and dates for selected customers

  • Enter pricing request in respective database upon sales request, draft pricing proposal for approval and send quotation

Skills & Competencies

Technical

Outstanding PC knowledge (Microsoft Office – Outlook – others)

Languages (fluent in English & Dutch – French is beneficial)

Experience business/commercial relationship

Excellent interpersonal, telephone and enquiry handling skills
