Core Tasks & Responsibilities

  • Responding to the switchboard incoming calls and divert to relevant persons.

  • Welcoming and guiding candidates and guests to relevant persons.

  • Receiving, recording and distributing the incoming cargo to relevant persons.

  • Performing and keeping track entrance card issue, renewal, etc.

  • Keeping track of outsourcing process with the service providers during the tender process of Administrative Affairs and Human Resources on timely manner.

  • Updating monthly employee birthday calendar on monthly basis correctly and informing senior managers on employee birthdays.

  • Keeping track of Tema Foundation Certificate purchase orders for Employee Birthday and ensuring the availability of sufficient certificate forms for all employees.

  • Delivering Tema Foundation Certificates to those employees on their birthdays on timely manner and inform the relevant employee on the same via e-mail.

  • Conducting the organization (transportation, allocating interview hall, interview timing, providing information on candidates and providing information to candidates on interview details via e-mail) for the employment interviews.

  • Ensuring Employee Database current and complete.

  • Keeping track of Special Insurance documents of the employees for their enrollment and delivering the same to the insurance companies and receiving and conveying the insurers’ documents to relevant business units.

  • Conducting the enrollment proceedings of new employees, conveying information on new enrollments to payroll Supplier Company and special insurance company and keeping track of enrollment process.

  • Conducting laptop purchase order for new employee by providing information to the foreign supplier and conducting in-house approval proceeds in this regard.

  • Conducting meeting, dinner, etc. organizations upon request.

  • Updating meeting room allocation calendar on monthly basis.

  • Conducting hotel reservation, pick-up, and etc. organizations upon request.

  • Conducting monthly ticket uploading in the last week of the months.

  • Providing information to those who are qualified for check-up rights annually and providing information on their realizations to Human Resources.

  • Keeping track of training provided on behalf of the employees.

  • Assisting General Manager for his/her regular assignments.

Requirements

  • University or college grade

  • Good command in speaking and writing English

  • Minimum 1-year experience as office/department assistant
