Overview

The Enterprise Programme Management Office (EPMO) provides project, programme and portfolio management services for organisation change and continuous improvement initiatives within BD. A new project is intended to generate a step change in business process capability for the BD EMEA region, underpinned by a corresponding forward-looking IT architecture. The role specified in this Job Description is a time-limited role with start and end dates corresponding to the overall programme, i.e. no extension beyond the lifetime of the programme is envisaged.

Role Objective

Ensure the successful delivery of the assigned IT workstream of the project

An EPMO Project Manager will be responsible for a specific workstream with the programme. As such, this role assumes overall accountability for and leadership of all activities leading to the IT deliverables for the workstream. This encompasses the entire delivery lifecycle, taking over from the Discovery phase through blueprinting, localization, solution design and build, user/business testing, data migration, cut-over and go-live, and finally the hyper-care phase. In addition to the core process-oriented deliverables, data and access management, end user training, and change management lie within the scope of the role.

Key Expectations and Responsibilities

  • Understand and ensure compliance with relevant BD methodologies applicable: I2R/SIAM, Harmony, Athena

  • Work in concert with, and in support of, other workstream project managers and the Programme Manager to deliver overall programme objectives

  • Ensure identification, engagement and contribution from key stakeholders for assigned workstream – both operational and governance level

  • Plan, organise and facilitate workstream meetings/workshops and other required events such that they achieve their agreed objectives, leading to measurable progress against project deliverables and schedules

  • Ensure outcomes, decisions, issues, risks, assumptions, constraints that arise during the project lifecycle are accurately documented and dispositioned, in alignment with the overall programme methodology

  • Plan, track and report on workstream progress, in full alignment with and supporting the programme plan

  • Act as the Single Accountable Point of Contact for Business workstream Leader into the IT organization and vice versa

  • Seek and enable effective governance for assigned workstream, both within IT and the programme; apply sensible judgement in balancing the needs of more than applicable one governance model

  • Demonstrate adequate subject-matter functional knowledge ( not functional expertise ) relevant to the assigned workstream in order to effectively engage with team members and advance project activity, leveraging prior experience to recognise potential risks, and prioritise and direct relevant mitigating actions adequately

Skills and Experience Required

  • Working understanding of contemporary project/programme management processes, methodologies and tools – very important to be able to adapt to BD ways of working with minimum friction/resistance

  • Minimum 5 years’ experience working on projects/programmes within the ERP domain in global corporations, ideally within life sciences/healthcare/med-tech industries

  • Proven experience within complex, matrix organizations having outsourced service partners

  • Ability to work with virtual multi-location, multi-timezone teams

  • Strong collaborative ability to engage with and constructively challenge business workstream leaders, and motivate individual contributors; relevant business acumen and conflict resolution abilities

  • Ability to facilitate small to medium size meetings and workshops with up to 25 people

  • Creating and tracking project plans to completion, developing detail as necessary and relevant to project phase

  • Maintaining - personally or through team members– the relevant project documentation per BD methodology (e.g. Business Process Flows, Key Business Decisions, Change and Issue Logs, Project Plans, Status Reporting scorecards/dashboards)

  • Assuring the quality of project deliverables such as process documentation, test scripts, etc.

  • Navigating and resolving constraints and obstacles such as resource availability, timely decision-making, tools and processes

  • Strong written and oral communication skills

  • Proficient in MS PowerPoint, Excel, Projects, Visio and SharePoint, MS Project

  • Recognised university degree and project management qualification such as PMP

Further Information

  • The requirements outlined above are indicative of a typical project manager role, but not exhaustive.

  • Three such roles are envisaged, each responsible for one of the following workstreams:

  • Order-to-Cash – including Order Management – all variants of process for Order Intake to Invoicing

  • Supply Chain – including Supply/Demand Planning, Inventory Management & Distribution, Logistics Execution

  • Commercial – including Customer Master Data, Pricing, Quotations & Tendering, Rebates, Territory Management, Customer Engagement and Complaints Management

  • One project manager will be assigned per workstream

  • Candidates will be assessed and selected according to the criteria set out above and suitability for the these workstreams

  • Extensive remote working with non-EU teams is required, hence the positions can be based in Erembodegem or Winnersh. There is a preference for the Supply Chain role to be based in Erembodegem.
